    The Reisa Group, Inc., an Atlanta-based retained search firm, has been asked by this confidential client to seek qualified applicants for the position of Mass Event Organizer.

    The Mass Event Organizer will be in charge of planning, organizing, implementing, and managing up to 6 mass gatherings annually of small stadium or arena-sized events (5,000 – 6,000 in attendance) in the United States. The person filling this crucial role will be reporting directly to the Founder of the organization.

    Specific Responsibilities:
    · Determine the geographic location and venue for each event including making site visits to various locations. There will be approximately 6 large events per year with 5,000+ expected in attendance.
    · Work to ensure capacity attendance at each event by involving local media in multi-faceted promotion including meeting radio station and television station management personnel to arrange interviews and promotions leading up to each event.
    · Coordinate all logistics of each event including booking blocks of hotel rooms, creation of room layouts, air and ground transportation.
    · Serve as the liaison to all vendors during the event and assist with managing on-site production for events.
    · Oversee the recruitment of local staff and volunteers to support and manage the event.
    · Schedule events on the Founder’s calendar and arrange all ground transportation for him to and from the event.
    · Prepare and modify event contracts as needed.
    · Ensure compliance with and completion of all event contract details without exceeding budget.
    · Collaborate with the Founder’s Security Manager for protection for each event.

    Qualifications:
    · In agreement with the organization’s Statement of Faith.
    · A minimum of 8 – 10 years of experience planning and managing major events (5,000 – 6,000 seats) to include strategic planning to determine geographic locations and venues, accommodations, themes, budget creation/management, vendor selection, recruitment of local staff and volunteers, and coordinating security.
    · PR/Marketing experience related to media promotion of events to include television and radio promotion of large events.
    · A Bachelor’s Degree is preferred but applicable work experience will be acceptable.
    · Excellent communication skills including writing, proofreading, and speaking.
    · The ability to manage multiple projects with little supervision.
    · The ability to travel in the United States 50+% of the time.
    · Strong customer service ethic and high expectations of quality.
    · Experience managing and coordinating staff and a host of volunteers.
    · Personal qualities of honesty, integrity, credibility, friendliness, professionalism, selfless servant, punctual, and detail-oriented.
    · Proficient in the use of Microsoft Word, Excel, PowerPoint, Access and mail merges, email, and web searches.

    Job type: Part-time (10-12 hours per week)

    Essential Duties and Responsibilities

    1. Nursery Operations
    • Sunday Operations: Send weekly reminder to Sunday volunteers, find substitutes as needed, set up nursery rooms, orient volunteers upon arrival in the nursery, oversee check-in process, welcome new families. If the nursery is adequately staffed, the Nursery Operations Supervisor may be asked to provide lessons for the 2 and 3 year-old classes.
    [5 hours per week]
    • Thursday Operations: Set up nursery, oversee caregivers, submit hours for payment, help in the nursery rooms when needed. If all rooms are fully staffed, the Nursery Operations Supervisor may be asked to provide a lesson for the older children (ages 3 and up).
    [4 hours per week]

    2. Reporting [1 hour per week]
    • Report weekly on hours worked by Nursery Operations Supervisor, Thursday morning caregivers and Sunday evening caregivers
    • Report nursery attendance numbers
    • Report/order supplies needed for the nursery

    3. Special Events [as needed]
    • Supervise caregivers during special events
    • Develop activity lists and schedules for children during special events

    Job Requirements
